Step 1: Define your General Ordering Deadlines and Closed days
Completing this step first is highly recommended, as it sets the foundation for your delivery availability before you begin creating customers.
- Action: Head over to the Ordering Deadline section in your Company Settings (clickable link).
- What to do: Set your standard Operating days and Order deadlines for each day of the week.
- Manage Closures: This is also where you will add Closed Days for holidays (e.g., Christmas, Easter) or scheduled maintenance to ensure customers cannot place orders when you are closed.

| Understanding Cut-offs: Setting Days before to 1 and Time to 14:00 means customers must place their order by 14:00 (2:00 PM) the day before their requested delivery date. Seller Flexibility: As the seller, you can still manually create and edit sales orders even after a customer's deadline has passed. |

Step 2: Add Your Customers
In MyFoodOffice, Customers represent any entity that will have orders placed in the system. This includes external clients, store locations, or internal departments.
Action: Start our in-app guided tour to learn how to create Customers (opens in new tab) or navigate to the Customer page yourself and click "New Customer".

Step 3: Add Your Sales Articles and Prices
Sales articles include everything you sell. In MyFoodOffice, articles are split into three categories:
- Products: articles you produce yourself and have a recipe for (eg. buns, cakes, or breads).
- Merchandises: articles you sell that you don't have a recipe for, such as soda, packaging or coffee. These are typical trading goods.
- Packaging: materials (eg. bread bags or cartons) that can be sold directly and utilized for food costing calculations.
You can set prices directly on each article's page or manage them centrally from the Sales Prices page.

Step 4: Set Customer-specific rules
Now you can tailor the Ordering Portal experience for specific clients. Depending on your plan, MyFoodOffice allows you to set up customized boundaries:
- Deadlines: Create unique ordering deadlines and assign them to specific customers or articles (B2B Pro plan).
- Learn how: Manage your Ordering Deadlines
- Pricing: Create custom Price lists and discount rules and assign them using Price Rules.
- Catalogues: Limit access so specific customers can only see and buy certain articles.
Step 5: Configure your production reports, packing slips, and delivery notes
Your reports automatically pull data from your orders, sales articles, customer settings, and report configurations. MyFoodOffice comes equipped with built-in templates for all your core operational needs, including:
- Delivery Notes and Packing Slips: Crucial paperwork for shipments.
- Production and Packing Reports: Clear lists for your production and packing teams.
- Packing Matrixes: An overview of what needs to go where.
- Route Plans: Optimized logistics for your drivers.
Tailor-Made for Your Workflow
Every template is highly flexible. You can adjust the visual layout, setup parameters, and data filters based on specific articles, customers, delivery routes, or production areas until the printed sheets match your daily operations perfectly.
Action: Go to Reports to create and print your reports. Tweak and adjust the settings until the printed layout matches your team's day-to-day operations.
